EVENT BOOKING TERMS AND CONDITIONS
This information should be read carefully before booking any course or activity with Maddog Adventures.

1. AGREEMENT
The person making the booking is classed as the “lead name” in any booking which includes more than one person. Where you are the lead name you guarantee to us that you have the authority to accept (and do accept) these Terms and Conditions (and our Policies) for each person in your party and that you have drawn these Terms and Conditions to their attention. You will be the primary contact with us and will accept any communications/correspondence from us on behalf of your entire party. You must be over the age of 18 to make a booking.
Maddog Adventures reserves the right to refuse bookings to any party or individual without the need to give reasons solely at Maddog Adventures’ discretion and we will return any payment accompanying the booking form or refund any payment is made online.
No variation of these terms & conditions shall be applicable unless agreed in writing by Maddog Adventures before the relevant event.
1a. Age conditions
The client must be must be 18 years old or over to make a booking.
Persons attending any Maddog Adventures event under 18 years of age must be accompanied by a person over 18.
Children must be a minimum 9 years old or over to attend any Maddog Adventures event, especially for overnight courses and must be accompanied as the preceding paragraph.
A Maddog Adventures Instructor has the right to refuse a client entry onto an event if he or she suspects that a person is breaking any age condition.
Adults are responsible for the behaviour of children at all times. This is a safety pre-requisite. Any Maddog Adventures Instructor or Assistant may request that behaviour be moderated (see section 10, Client conduct).
2. COURSE BOOKINGS
Please note these course terms and conditions are in addition to the terms and conditions outlined above. The course terms and conditions continue to form the basis of the contract between Maddog Adventures and the client.
Event participants must be over 18 years of age or accompanied by an adult. Event participants must have a good standard of general fitness. Maddog Adventures cannot be held responsible for any losses incurred as a result of failure of clients to disclose medical conditions.
3. PAYMENT
On all events, a 20% deposit is taken at the time of the initial booking to reserve your place.
Remainder of payment outstanding will be invoiced 4 weeks prior to the event and will need paying on reciept.
All deposits are non-refundable.
i) The 20% deposit does not apply to International Expeditions, which will have their own payment terms attached.
4. EVENT VOUCHERS
Occasionally, Maddog Adventures will issue Event Vouchers. These Event Vouchers are usually issued to other brands or individuals as prizes or gifts. Conditions on the voucher use are as follows;
(a) the voucher has been signed and dated by Maddog Adventures;
(b) a valid coupon code is attached to the Event Voucher;
(c) bookings are to be made online via our website and using the aforementioned coupon code.
(d) vouchers are valid for 1 person on 1 event of choice (see 4e).
(d) the voucher is non-transferable and hold no cash value.
(e) events will be subject to the minimum numbers to run and as such, requested event dates may be subject to change.
5. EVENT DATE CHANGES
Should a customer wish to change the dates of their course, where there is a place available, an administration fee of £10.00 may be charged to transfer at the company’s discretion. Please note Maddog Adventures will not be able to transfer a booking if the course is due to start in less than 7 days.
6. VARIATION OF EVENTS BY MADDOG ADVENTURES
A Maddog Adventures event is, by its very nature, subject to natural variables and whilst every reasonable effort is made to comply with course content, Maddog Adventures reserves the right to vary or modify a course itinerary at short notice in order to take advantage of naturally prevailing conditions. The client acknowledges that information about courses or sessions provided by Maddog Adventures is given to the best of our ability but because of the variability of nature it may be reasonable to alter or modify a course and that in such circumstances it is not reasonable for Maddog Adventures to be liable for any losses consequential on such a change.
7. CANCELLATION OF COURSE BY MADDOG ADVENTURES
In the event that Maddog Adventures cancels a course, all payments made will be refunded in full, or if preferred, transferred as a deposit for another course. Please note that Maddog Adventures may require a minimum number of clients to run a course. Maddog Adventures reserves the right to cancel all and any bookings without reason or notice. Under these unlikely circumstances Maddog Adventures agrees to repay in full all and any payments of course fees to the client. Alternatively, clients will be given the option to move their booking to a future date.
8. CANCELLATION BY CLIENT
If you are unable to attend an event and inform us up to 7 days prior, we will endeavour at our discretion to move your booking to an alternative event date as agreed by both parties. If another suitable date cannot be arranged, Maddog Adventures will refund payment, minus the initial 20% deposit.
If you cancel with 3 full days of an event, we are unable to move any booking and you will forfeit your place. No refunds will be given.
9. CLIENT CONDUCT
Maddog Adventures clients are expected to behave in a reasonable manner at all times and to comply with the instructions and leadership of Maddog Adventures Instructors and Assistants, save that parents, teachers and those in comparable roles in respect of children must maintain control of those children, to the satisfaction of Maddog Advemntures. Maddog Adventures reserves the right to remove any client(s) from the course or session at the discretion of the instructors without recourse to repayment for that event and against the client(s) will if necessary.
Circumstances that may warrant exclusion from a course include (without limitation): intoxication, use of recreational drugs, abusive or inappropriate behaviour, inappropriate or unsafe use of equipment, inability to meet the rigours of the event for physical or mental reasons, or through lack of appropriate equipment. If you are in any doubt about your ability to meet the rigours of the course, please contact your GP before booking. For removal of any party under such conditions, Maddog Adventures will not be liable for any losses as a result and Maddog Adventures is also entitled to any reasonable costs arising from removal of said client(s) payable upon demand.
1. Clients are required to behave in a safe and reasonable manner throughout the course, and not to jeopardise the enjoyment or the safety of other course participants. In particular:
2. On woodland courses, alcohol is permitted in the evenings and you must ensure to drink responsibly
i) Alcohol may only be consumed once the classes for the day have been completed.
ii) Alcohol may only be consumed once all knives, axes or other sharps have been either return to Maddog Adventures staff or have been store safely in your personal kit.
iii) Any client found to have consumed what staff consider to be an inappropriate amount of alcohol may be pulled from day 2. No refunds will be given.
iv) There are local pubs to our woodland site. If any client decides they wish to use these facilities they void their participation in the remainder of the classes. No refunds will be given.
4. No illegal drugs or recreational are permitted, and clients must not be intoxicated at any time during the course.
5. Clients are responsible for bringing adequate clothing and equipment to the course, as per the Kit List, which will be sent to all clients prior to the course.
6. Clients must comply with all reasonable instructions and directions from the Instructors, and in particular no knives must be used until the Instructors are satisfied that the clients have been fully instructed in knife safety. Knives and tools may be subject to inspection by Maddog Adventures staff to validate their safety.
7. No fires are to be lit without the express consent of the Instructors, and fires must not be left unattended at any time.
8. Clients are responsible for any equipment issued to them during the course, and will be liable for loss or breakage. All equipment must be handed back in the same condition it was issued in.
9. Clients are to be aware of the age of other members of the group. On occasions when families with younger children are present, clients must adjust their behaviours or conversation to accommodate this.
Failure to comply with the above may result in removal from the event, without refund, and Maddog Adventures will not be liable for any subsequent losses.
14. INSURANCE
Maddog Adventures is covered to a level of £5,000,000 for public liability and is insured as an outdoor activity provider. Maddog Adventures clients are advised to provide their own personal insurance cover. Please take note of conditions in your policy with regard to “hazardous activities” and “working with hand tools”.
15. LIABILITY
Maddog Adventures events take place in the outdoors, which by its nature is never free from hazard. While all reasonable precautions are taken to minimise the risk the client accepts that accidents including serious injury and death can occur without Maddog Adventures being at fault and to that extent he/she is taking part in a Maddog Adventures event at his/her own risk. The client also recognises that Maddog Adventures is not responsible for loss or damage to the personal property of the client, including vehicles, money, clothing and or equipment.
The client also recognises attendance of a Maddog Adventures event in no way qualifies him/her to teach the course content. It is not intended that any instructions provided to any client(s) while on a course will in any way qualify those client(s) to instruct any third party & no warranty is made to that effect. Maddog Adventures hereby excludes any liability it might have to any third party in respect of any loss or damage suffered or incurred by that third party in its reliance on any skills taught by any client(s) on the basis of having attended any Maddog Adventures events or courses.
Maddog Adventures accepts no responsibility for any mishap during a course from any instruction or information not given by Maddog Adventures appointed guides, instructors or assistants. Maddog Adventures also takes no responsibility for any mishaps occurring as a result of the client’s failure to follow specific instructions. Maddog Adventures will only accept liability for physical injury to a client that is shown to result from negligence on the part of the company.
16. COMPLAINTS
In the unlikely event that a client has cause for complaint about a Maddog Adventures event, the complaint should be made to a representative of Maddog Adventures during the event in order that corrective action can be taken if necessary. The client acknowledges that it is unreasonable not to raise an issue during a course but to complain later. If the complaint is about a member of staff then please contact us via email and we shall inform you of the complaints procedure and take the necessary action. Any complaint must be made immediately. Maddog Adventures will not accept a complaint after the end of the course (unless being made in writing as noted above). However should the problem not be resolved satisfactorily, a complaint should be made in writing within 28 days or this complaint will not be upheld.
17. TRAVEL DOCUMENTS
For International expeditions, the client is solely responsible, where necessary, for ensuring that he / she has all necessary valid travel documents.
18. TRAVEL VACCINATIONS
For International expeditions, the client is solely responsible, where necessary, for ensuring that he / she has had all necessary travel vaccinations for the regions that the expedition will be visiting.
19. EVENT CONSENT FORM
The client acknowledges that they must sign and complete a Consent Form, which must be returned to Maddog Adventures at the start of the event, prior to starting any activity. The Consent Form will be given to the client by am member of the Maddog Adventures team when they arrive at an event. The client will be unable to begin any event until this document has been completed.
i) As of 2021, all clients will now be asked to also fill in a Coivd 19 declaration. Any client who have shown any signs of Covid 19 will be unable to participate in events.
ii) GDPR will be strictly adhered to. Client details will be kept for the regulated period of time. Client details will not be shared with any third party.
20. EVENT PHOTOGRAPHY
The Client agrees that any photographs taken by Maddog Adventures staff during an event may be used by Maddog Adventures in promotional material, either printed or on the internet. We often use photographs on Instagram.
i) If you would prefer not to be seen on social media please let a member of Maddog Adventures staff aware.
ii) Maddog Adventures will always ask families attending with children for permission before taking any photographs that may be used on social media or the internet.
21. FREE CHILD PLACES
Maddog Adventures are able to offer a free child place (aged 9-14) when accompanied by a full paying adult, over the age of 18. The aforementioned adult will be responsible for the actions, behaviours and general wellbeing (with the exception of any emergency first aid requirements) of the child for the duration of the event.
22. DISCOUNT CODES
Any discount codes issued to a client by Maddog Adventures are for their sole use and should not be passed on to others.
Any discount codes issued by Maddog Adventures in line with a specific promotion will have a valid date attached and will this will be communicated clearly.
Maddog Adventures are able to offer a Blue Light Discount to serving members of the Emergency Services and Military. This is not limited to the UK. We may ask for proof of employment, where required.
All clients who book onto events will be given a 15% discount code provided by Cotswold Outdoor. This code comes with its own terms and conditions provided by Outdoor and Cycle Concepts Ltd. (O&CC) which will be provided upon issue.
23. SURVIVAL COURSES
Maddog Adventures offers 3 levels of Survival and Expedition Skills courses. They have the following booking stipulations;
i) Clients booking onto the Basic course will not be required to have any prior knowledge but we ask that they show a responsible attitude. Clients will need to bring suitable kit for their time on the course.
ii) Clients booking onto the Intermediate course will need to either have attended our Basic course or be able to show that they have suitable knowledge for the tasks that are set out in the course descriptions. Clients will need to bring all required kit that is set out in the issued kit list and should be aware that Maddog Adventures will not be providing these items for their use.
iii) Clients booking onto the Advanced course will need to have completed the Intermediate course with Maddog Adventures. We are unable to accept any bookings that do not meet this criteria. Maddog Adventures will have assessed all clients on courses and will make a decision based on this. Clients will need to bring all required kit that is set out in the issued kit list and should be aware that Maddog Adventures will not be providing these items for their use. Maddog Adventures will conduct a kit check at the start of the Advance course to ensure that all clients attending are suitably prepared.
The Advanced course will involve period of solo survival and as such clients need to be made aware of section 9. Client Conduct and section 15. Liability prior to booking onto this event.
